Basic Function: Responsible for assisting Purchasing Department in purchasing items for resort. Maintaining department related software and coordination between vendors and resort.

Work Performed:

1. Process and monitors internal transfers.
2. Coding and entering of received items into software system.
3. Assist in monitoring of inventory.
4. Distribute month end inventory sheets to departments.
5. Enters proper paperwork and maintains necessary files and paper trail and distributes to necessary parties.
6. Prepare outgoing shipments, pack lost & found items and entry into shipping software and coding of monthly bill.
7. Maintain security of warehouse and supplies therein.
8. Report any potential safety or security concerns identified.
9. Monitor received invoices for price discrepancies and report them to Directors.
10. Monitor and record month end totals.
11. Assists the Directors with quotes, purchasing and placing orders.
12. Weekly status report of open purchase orders.
13. Assists Storeroom Supervisor and storeroom clerks as necessary.
14. Alerts Directors any inventory discrepancies.
15. Maintain inventory/purchasing software system integrity.
16. Perform daily, weekly and monthly inventories.
17. Receive incoming UPS, FedEx, etc. deliveries
18. Purchasing of items in assigned areas of responsibilities.
19. Code HOA portion of work and expense
20. Buy product for Engineering team
21. Monitor Synergy
22. Responsible for department clerical duties.
23. Other duties as assigned

Minimum Requirements:

High school diploma or equivalent. Good math skills, communications skills (written and verbal) and computer knowledge. Knowledge of all departments, their functions at the resort. Inventory control experience preferred. Previous hotel, Food & Beverage, Engineering purchasing or warehousing experiences a plus.
